The Accounting Section is responsible for conducting the School’s budget and financial estimates. It controls resources originated from agreements and projects of professors, and accounts for the expenses; manages budget quotas, and accounts for the Faculty’s financial resources; checks out bidding processes, purchases in general and cash advances, makes use of the financial management central system called MERCÚRIO and MERCÚRIO WEB to issue Commitment Notes and Settlement of Expenses and Payments; follows up terms and values of outsourced and concession contracts, arranging for readjustments and addition of terms; and prepares managerial reports.

The Treasury Section makes allowed payments, makes out checks to suppliers by vouchers (requests and tax documents); carries out banking services such as deposits, taking check books and bank account statements etc.; prepares reconciliations, manages agreement resources (CAPES); requests opening cash advance for emergency purchases, and accounts for the cash advance; collects monetary values such as income, collateral, refunds, fees, etc.

This section comprises three distinct operation areas: purchase, warehouse, and patrimony.

The Section conducts the purchase of materials, equipment, and procurement of services through bidding procedures in accordance with what is determined in the Bidding Rules and Standards of the University of São Paulo, in the sense of attending to teaching, research, and extension of FEA-RP/USP.

The Section conducts and requests the purchase of materials for storage in the warehouse with the purpose of attending to the School users. It also conducts the physical inventory of the stored materials, seeking the balance point.

The Section conducts the incorporation of assets acquired through purchase and donation processes indicating the responsible people; it conducts the unserviceable permanent assets write-off. It follows up, supervises, and records the handling of FEA-RP’s permanent assets. It carries out the physical inventory of capital goods, and the upkeeping of chattels.

Assignments:

The Financial Assistance is responsible for managing financial resources and materials in accordance with the pertinent standards and legislations, aiming to attend to the demands for developing activities of the Faculty. It assists the Dean’s Council with decision-making subsides. The ATAF coordinates and manages Accounting, Materials (Purchase, Warehouse, and Patrimony), and Treasury areas.

The Graduate Service attends to applicants for regular and special selection processes, and students and professors of the strict-sense graduate programs of FEA-RP/USP. The Office of the Graduate Registrar is the sector that receives and forwards the students’ and professors’ requests for analysis by the programs coordinations; it controls and informs the coordinations concerning its students’ situation by means of the information recorded in the Janus system or in internal controls; it makes theses and papers contained in USP Digital Library available; receives requests for aids and forwards them to the Provost for Graduate Studies; and receives requests for scholarships of the Sandwich Doctoral Institutional Program Overseas (PDSE) and forwards them to High-Education Personnel Improvement Coordination (CAPES); it assists the coordination with restructuring and creating program as well as updating the regulations of the programs and Graduate Committee; it provides the Graduate Committee and the School’s Teaching Improvement Program Coordinating Committee (PAE) with secretarial assistance.

This Office assists students with Undergraduate-pertinent legislation; it is responsible for entering students’ enrolling, the Provost Undergraduate Programs, and for carrying out academic routines such as credit accomplishments, locking enrollments, transfer processes, grades, exemption of subjects, and some. It controls the data bank, includes and updates Undergraduate- pertinent records through Jupiter system; it issues documents and controls the students’ academic situation, being responsible for the proceedings related to diploma-issuing processes. It also provides secretarial assistance to Undergraduate Committee’s (CG) meetings.

Internships Sector: it is the Traineeship Sector’s responsibility to check up and help with the processing and signing of traineeship agreements and Terms of Commitment. Furthermore, it supports with disclosing traineeship and job opportschoolies; updating documents and the site traineeship page of FEA-RP; clearing students’, companies’, and traineeship coordinators’ doubts concerning the documents to be arranged for, the legislation, and other pertinent matters.

 

Agreements Sector: it is the Agreements Sector’s responsibility to check up and process the agreements, signed up for different purposes such as offering specialization programs, research development, organizing the Inter-institutional Master’s Program (Minter), among others. It also helps with clearing doubts, and interacts with different sectors in and out of FEA-RP such as Departments, Committees, and Provosts, Office of International Relations, and others that participate in the formalization process of the agreements.

The Academic Support Section provides support to the Academic Assistant concerning contests for teaching career, academic elections processes, and issuing documents related to the area.

Announcements, decrees, communiqués are prepared in this Section and sent for printing in the Official Journal; the Section also consults all print matters of the Official Journal related to the academic area. It is responsible for divulging matters in the School site to all specific interested people.

The Section cooperates with academic events such as the Freshmen Welcoming Week, Graduation Ceremonies, Lectures etc.; it assists professors and students with matters about legislation pertinent to the Culture and Extension Committee; it is responsible for disseminating and supporting university extension programs, Fair of Professions, Culture and Art Week, Culture and Art Seminar, University Program Open to Seniors. The Section includes and updates registers related to the University Culture and Extension Committee through Apolo system.

The Section maintains and updates the site of the University Culture and Extension Committee, and performs other correlated assignments as necessary or on their superior’s demand.

It assists the Dean’s Council with academic matters; assists the Faculty Senate with secretarial services; conducts selection contests and processes for professors, and academic elections; prepares announcements, decrees, communiqués, reports, and internal regulations; prepares and takes care of the Graduation Ceremony and academic events; orients the teaching Departments about academic matters; forward legal consultations; attends to the internal and external public of FEA-RP, and supervises the following sectors: Academic Support Section, Office of the Undergraduate Registrar, Office of the Graduate Registrar, Agreements and Traineeships Section, Research Office and Press Office.
